NextLevel MCA shows each person only the deals they’re allowed to see. This page explains the rules. They’re set by each person’s role, their manager link and one permission, all in Settings → Team → Members.

The rule

A deal belongs to its originator and its closer. Whoever is in either slot counts as working the deal. A deal with no originator and no closer is unassigned. Admins and managers see unassigned deals. Reps don’t.
View All Deals is a permission, not a role. Turn it on for processors, underwriters or back-office staff who need every deal but shouldn’t be admins. It’s on the MCA permissions tab under Deals. See Permission templates.

What follows the deal

Everything attached to a deal is visible to exactly the people who can see the deal:
  • Submissions, offers, advances and Lender Commissions
  • Documents, bank statement analysis, notes, activity and stage history
  • Conversations
  • Lender matches and recommended lenders for the deal
Businesses and people (owners and contacts) are visible when at least one of their deals is visible. A business or person with no deal at all is visible only to admins and managers. Tasks are visible when their deal or business is visible, or when the task is assigned to you.

Where you’ll notice it

  • Deals list and board. Only deals you can see appear, and stage counts and search results only count those deals. The first list is named for what you see: My deals for a rep, My team for a manager, All deals for admins and anyone with View All Deals. Everyone except reps also gets an Unassigned list and a My deals list.
  • Opening a deal you can’t see. A link to a deal outside your view shows it as not found, the same as a deal that doesn’t exist.
  • Dashboard. Your figures cover the deals you can see. A manager’s team leaderboard lists only their reps.
  • Lenders. The lender list and each lender’s details and criteria are shared across the whole workspace. Submission history only includes submissions on deals you can see.
  • Rep Commissions. Reps see their own. Managers see their own and their reps’. Admins see everyone’s. The View All Distributions permission widens anyone to everyone’s. This is separate from View All Deals: seeing every deal doesn’t show every Rep Commission.
  • Notifications. You’re notified about deals where you’re the originator or closer (the creator is notified when neither is set). Admins and managers can turn on Notify me about every deal I can see, and then only hear about deals they can see. See Notification preferences.
  • Apps you connect. An app or AI assistant you connect with your own sign-in sees only what you can see. Workspace API keys and CRM workflow actions see the whole workspace.

Assigning deals

Who you can put in a deal’s originator and closer slots depends on what you can see:
  • Admins and anyone with View All Deals can assign anyone.
  • Managers can assign themselves and their reps.
  • Reps can only assign themselves, unless they have the Assign Deals permission.
If you hand a deal to someone outside your view, it leaves your list.

What this doesn’t change

  • Your CRM. What someone sees in the CRM is set by Assigned data only (CRM) on their CRM permissions tab, not by these rules. See Roles.
  • Permissions. Visibility decides which records someone sees. Their permissions decide what they can do with them, such as submitting, logging offers or marking funded.

Common problems

Check that they’re the originator or closer on it. If the deal is unassigned, a manager or admin needs to assign it.
Check that the rep is linked to that manager (the members list shows Managed by on the rep) and that the rep is the originator or closer on the deal. See Setting a manager and their reps.
They’re an admin, or they have View All Deals turned on. The Sales Manager template includes View All Deals, so check anyone it was applied to.
An application that arrives without a rep link, and with no default rep set, is unassigned. Managers and admins see it in the Unassigned list. See The application form.
