Every email goes from a connected mailbox (see Connecting a mailbox). This article explains which one is used and how to set the workspace default. Setting the default is for admins and anyone with Settings access; picking the From mailbox on an email is for everyone.

Set the default mailbox

Admins only (or anyone who can edit Settings).

Open Settings → Senders

You see every connected mailbox in the workspace.

Click Make default

On the mailbox you want, click Make default. The button changes to Default, and the row says Default for automated emails. Only a connected mailbox can be the default.
There is only one default per workspace. To move it to another mailbox, first click Default on the current one to clear it, then click Make default on the new one. To have no default, click Default on the current one. Automated emails then need a deal rep with a connected mailbox.

Which mailbox automated emails use

Some emails are sent without anyone clicking Send, for example the fresh portal link a merchant asks for when theirs has expired. For those, NextLevel MCA uses the first of these that has a connected mailbox:
  1. the deal’s closer,
  2. the deal’s originator,
  3. the person who created the deal,
  4. the workspace default.
If none of them has a connected mailbox, the email does not go out. Nothing is sent through the CRM instead.

Which mailbox your own emails use

When you send something yourself, the dialog has a From box (Send From when submitting to lenders). Whatever you pick there is what’s used. Where it starts depends on the dialog:
  • Conversation tab, Request documents and Portal link: it starts on your own mailbox. If you have none, it starts on the mailbox you picked last time in this browser, then on the workspace default, then on the first connected mailbox.
  • Submitting to lenders, Pitch offer and Request contracts: it starts on the most recently connected mailbox in the workspace. Check it before you send.
The default mailbox is marked (default) in the From box.

Common problems

Another mailbox is already the default. Click Default on that one to clear it, then try again.
A mailbox stops being the default when it is removed or disconnected by its owner. After it’s reconnected, click Make default again.
