Assign leads
1
Select the leads
In the CRM, open Merchants → Leads. Tick the leads you want, or tick the box at the top of the list and click Select all to take every lead the list shows, with your search, filters or smart list applied.
2
Click Assign
Assign appears in the bar above the list, next to Export, while leads are ticked.
3
Choose who gets them
Pick one rep, or several to share the leads between them. The numbers next to their names show the order you picked them in.
4
Choose which leads
All of them, Only the ones with no owner, or Only the ones owned by a rep you pick.
5
Review, then confirm
Click Review. NextLevel MCA looks every lead up again in the CRM and shows what will happen: how many leads each rep gets, how many are already right and will be left alone, and how long it takes. Nothing changes until you click Assign N leads.
Sharing leads between reps
When you pick more than one rep, choose how to share the leads:- Evenly: in turn, so each rep gets the same number, or one more. The first rep you picked gets any extra; tick Shuffle the order to leave that to chance.
- By share: give each rep a number. Any numbers work: 50/30/20 and 5/3/2 split the same way. The counts always add up to exactly the leads selected.
- Fewest leads first: reps with the fewest leads in the CRM right now get more, until everyone is as even as possible.
Take the owner off leads
Choose Unassign instead of Assign. The leads keep everything else, including their followers and their deals’ originators.Add or remove followers
Choose Followers, then Add followers or Remove followers, and pick the people. They’re added to, or taken off, every lead you selected. The owner doesn’t change. While it runs
Leads change at about six a second, so 1,000 leads take around three minutes. You can close the window as soon as you’ve confirmed: the change carries on without it. Open Assign again while it’s running to see its progress, or start another with New assignment.- Deals follow their lead. When a lead gets a new owner, its deals that have no originator get that rep as originator, as when you reassign a contact in the CRM.
- Each rep gets one notification for the batch, saying how many leads (and deals) are now theirs, not one per lead.
- Leads deleted from the CRM in the meantime are skipped.
When the list doesn’t match
With Select all, NextLevel MCA runs the list’s search again and checks it finds exactly the leads the CRM showed. If the list changed in between, or a filter can’t be read, nothing is changed and the window shows both numbers. Refresh the list and try again, or tick the leads instead. If the window says the list hasn’t been read yet, change page or refresh the list once, then click Assign again.See past assignments and undo one
Every assignment is listed in Settings → Team → Lead assignments: when it ran, who started it, and how many leads changed, were skipped or failed. Click one for the details, including any lead that failed and why. While one is running you can Stop it there; leads already changed stay changed. To reverse an assignment, open it and click Undo, check the plan, and confirm.- Each lead goes back to the owner and followers it had before, including leads that had no owner.
- A lead someone changed again since is left alone, and the plan tells you how many.
- Deals that got an originator from the assignment keep it.
- An assignment can be undone once.
Limits
- One assignment takes up to 50,000 leads. Leads ticked by hand: up to 1,000; use Select all for more.
- Only admins see Assign and can run assignments.
