Permissions decide what a team member can do. A template is a saved set of permissions you can apply to anyone in one click. Admins, or anyone with the Manage Team permission, manage permissions and templates in Settings → Team → Members.
Admins always have full access. Their permissions can’t be customized and templates don’t apply to them.

Where permissions live

Open a member’s ⋯ menu and click Edit (or click Add member for someone new), then click Permissions on the left. There are two tabs:
  • MCA: what they can do in NextLevel MCA.
  • CRM: what they can do in your CRM. NextLevel MCA sets these on their CRM user for you.
Each tab is split into areas. Click an area to open it, tick individual permissions, or use the area’s checkbox to turn the whole area on or off. The count next to each area shows how many of its permissions are on. Click Save (or Create User) to keep your changes.

Open the member's permissions

Edit the member (or start adding one) and click Permissions.

Pick a template

Choose one under Apply Template. Templates that came with NextLevel MCA are marked (System).

Click Apply

The template’s MCA permissions, CRM permissions and Assigned data only (CRM) setting replace what was there. You can still adjust individual permissions afterwards.

Click Save

Nothing changes for the person until you save.
Applying a template copies its permissions onto the person. It isn’t a link: people you applied it to keep their permissions if the template changes later.
Changing someone’s Role resets their permissions to that role’s defaults. Change the role first, then apply the template.

Set up the permissions you want

On any team member (or a new one), set the MCA and CRM permissions you want to reuse. Set the Role too: the template is saved for that role.

Click Save as Template

It’s at the bottom of the window. It isn’t available while the role is Admin.

Name it

Enter a Template Name and, if you like, a Description. The window lists what the template will include: the current MCA permissions, the current CRM permissions, the Assigned data only setting and the role it applies to.

Click Save Template

It’s now in the Apply Template list. Saving a template doesn’t save the team member: click Save or Create User as well if you changed them.
Templates saved for the rep role show for managers and reps. Templates saved for the manager role show only when the person is a manager.

What each MCA area controls

Manage Fields is the permission that lets someone change workspace settings: fields, the pipeline, the application form, email senders and templates, integrations and developer settings. Give it only to people who should change how the workspace is set up. Without View Settings, Settings shows only General (their own mobile PIN), My mailbox (their own email sender) and, where available, Notifications. Team shows for anyone with View Team.

The CRM tab

The CRM tab controls access to areas of your CRM: AI Agents, Account Settings, Account Tools, Automation, Blogs, Calendars, Communities, Contacts, Conversations, Forms, Integrations, Marketing, Media, Opportunities, QR Codes, Quizzes, Reporting, Reputations and Surveys. At the top is Assigned data only (CRM). With it on, the person sees only the contacts, opportunities and conversations assigned to them in the CRM. It doesn’t change what they see in NextLevel MCA. It’s on for reps and off for managers and admins by default. New managers and reps start with contacts, conversations, opportunities, media, calendar appointments and dashboard stats turned on in the CRM.

Common problems

The person’s role is Admin. Admins always have full access, so templates don’t apply.
Saving templates needs the Manage Team permission.
The list shows templates for the person’s current role and for reps. A template saved while the role was Manager doesn’t show for a rep.
Not from the Team page. To change one, set up the permissions you want and save them as a new template with a new name.
