# What's the difference between admin, manager and rep?

> The three roles in NextLevel MCA, what each one sees and can do, and how they map to your CRM.

Every team member has one of three roles. The role decides which deals they see, which permissions they start with, and their role in your CRM. Admins, or anyone with the **Manage Team** permission, set roles in **Settings → Team → Members**.

## The three roles

| Role | Sees in NextLevel MCA | Role in your CRM |
| - | - | - |
| **Admin** | Everything, including all settings. | Admin |
| **Manager** | Their own deals, their reps' deals, and unassigned deals. | User who sees all contacts |
| **Rep** | Deals where they are the originator or the closer. | User who sees only the contacts assigned to them |

"Their deals" always means deals where the person is the **originator** or the **closer**. See [Who sees which deals](/help/record-visibility) for the full rules.

## What each role starts with

A role comes with a starting set of permissions. You can change any of them per person, except for admins.

* **Admin** has full access to everything. Their permissions can't be customized, in NextLevel MCA or on the CRM tab.
* **Manager** starts with everything a rep has, plus: assigning deals, withdrawing submissions, editing offers, viewing advances, and viewing and exporting reports.
* **Rep** starts with: viewing, creating and editing their own deals, submitting to lenders, viewing and logging offers, viewing lenders, and viewing their own Rep Commissions. Reps can't delete deals, change lenders, or open workspace settings or the team page.

Neither managers nor reps get Settings or Team access by default. See [Permission templates](/help/permission-templates) for what each permission controls.

<Tip>
  Someone who needs to see every deal without being an admin, like a processor or back-office person, can be a rep or manager with the **View All Deals** permission turned on.
</Tip>

  </Step>

  <Step title="Click Save">
    Their role in your CRM updates at the same time.
  </Step>
</Steps>

## What changes in your CRM

Your CRM only has two roles, admin and user, so NextLevel MCA sets it for you:

* Admins here are admins in the CRM. Anyone who needs CRM admin rights must be an admin in NextLevel MCA.
* Managers and reps are CRM users.
* **Assigned data only (CRM)** on the **CRM** permissions tab is turned on for reps and off for managers and admins. With it on, the person sees only the contacts, opportunities and conversations assigned to them *in the CRM*. It doesn't change what they see in NextLevel MCA. You can change it per person.

## Common problems

<AccordionGroup>
  <Accordion title="A manager can't open Settings or the team page">
    That's the default. Give them **View Settings** or **View Team** (and **Manage Team** to edit people) on their **MCA** permissions tab if they need it.
  </Accordion>

  <Accordion title="A rep sees every deal">
    They probably have **View All Deals** turned on, which some templates include. Turn it off on their **MCA** permissions tab under **Deals**.
  </Accordion>

  <Accordion title="Their permissions changed after I changed their role">
    A role change always starts from the new role's defaults. Apply a template or set the permissions again, then save.
