# How do I track lender replies and declines?

> How lender replies update your submissions automatically, what each status means, and how to update a submission yourself.

After you submit a deal, each lender's submission has a status. NextLevel MCA reads lenders' replies from your connected mailboxes and updates those statuses for you. You can also change a status yourself. This article covers both, for anyone who can see the deal.

## Where to look

* **On a deal:** the **Submissions** tab. The right side shows counts for **Sent**, **Needs info**, **Approved** and **Declined**, then **Active submissions**, one row per lender.
* **Across all deals:** the **Submissions** page in the main menu. It lists every submission with its **Deal**, **Funder**, **Status**, **Submitted** date, **Age** in days and **Submitted by**. Search by deal or funder, filter by status, funder or deal, and click a row to open the deal.

## What the statuses mean

| Status | Meaning |
| - | - |
| **Pending** | Created and being sent, or recorded without sending. Counted with Sent on the deal. |
| **Sent** | The package went out. Waiting on the lender. |
| **Needs info** | The lender asked for more: stips, documents, answers. |
| **Approved** | The lender approved or sent an offer. |
| **Declined** | The lender passed. |

A submission can also show **funded** when the lender's email says the deal funded. Submissions sent through a lender's API show the lender's own status instead, with an attempt number; see [Submitting to lenders](/help/submitting-to-lenders).

## How replies are read

Your connected mailboxes are checked about every two minutes. A reply is matched to a submission when it arrives in the same email thread as the submission, or when it comes from an address on the lender's record.

When the app is confident about both the submission and what the reply says, it updates the submission:

* **An offer or approval** logs the offer on the deal's **Offers & Contracts** tab and sets the submission to **Approved**. If the lender already had an offer on the deal, the new terms replace it, see [Revised offers](/help/revised-offers). Terms identical to ones already on file are not logged twice.
* **A decline** sets **Declined** and keeps the reason the lender gave.
* **A request for information** sets **Needs info** and lists the items the lender asked for.
* **Contracts attached to a reply** to your contract request are filed on the deal, see [Contracts and signatures](/help/contracts-and-signatures).

A reply can't undo a decision: a later "need more info" email doesn't reopen a declined submission, and an approval always wins over an open status.

When the app isn't sure, it doesn't change anything. The reply is still kept on the submission so you can read it and set the status yourself.

## See what a lender said

Click **Open** on a row in **Active submissions** (or **Details** in the row's **⋯** menu). The details window shows:

* When it was sent, by whom, the method (**Email** or **Lender API**) and the **Document ref**.
* **What the lender asked for**, when the status is **Needs info**.
* **Decline**, with the lender's reason, when it was declined.
* **Lender replies**: each email matched to this submission, with what was read from it (offer amount, factor, term, decline reason and so on) and pills such as **Offer logged**, **Same terms re-sent** or **Needs review**. Click **Show full email** to read it all.
* **Activity**: every change to the submission.

## Update a submission yourself

On the deal's **Submissions** tab, in **Active submissions**:

    Click the status pill and pick **pending**, **sent**, **approved**, **declined** or **needs info**. Choosing **approved** also opens **Add Offer** so you can log the lender's terms.

    Open the row's **⋯** menu and choose **Log offer**. The lender is filled in for you. See [Logging an offer](/help/offers-and-contracts).

    Choose **Resubmit** from the **⋯** menu to send the package to that lender again. Not available while the submission is **Pending**.

Once a lender's offer on the deal is marked funded, that lender's status is locked and can't be changed from the tab.

Declined submissions are hidden on the deal's **Overview** and **Submissions** tabs until you turn on **Show declined**. The choice is remembered in your browser.

## Common problems

  <Accordion title="A lender replied but nothing changed">
    The app wasn't sure which submission the reply was about, or what it said. Open the submission's details: if the reply is listed there, read it and set the status yourself. If it isn't listed, check that the mailbox the submission went from is still connected, see [Reconnecting a mailbox](/help/reconnect-mailbox), and that the lender replied from an address on its record.

  <Accordion title="A status changed on the wrong deal">
    A reply that isn't in the original thread, sent from the lender's address, is matched to your most recent submission to that lender. If you have several deals out with the same lender, ask them to reply in the submission's thread. Fix the status by hand from the tab.

  <Accordion title="The details say the lender replied but the message isn't on file">
    The status came from a reply received before that mailbox was reconnected. Those emails weren't kept. The activity trail still shows what changed.

  <Accordion title="A declined lender is missing from the list">
    Declined submissions are hidden by default. Turn on **Show declined** above **Active submissions**.
