# How do I add a team member?

> Add someone to your NextLevel MCA workspace, set their role, manager and commission, and what happens in your CRM.

Everyone who uses NextLevel MCA needs a team member record in the workspace. You add people from **Settings → Team → Members**.

  You need the **Manage Team** permission to add, edit or remove team members. Admins have it. Managers and reps don't, unless an admin gives it to them.

## Add someone

    The list shows everyone in the workspace with their role (**Admin**, **Manager** or **Rep**), whether they're active, their email, their manager or rep count, and their commission %. The header shows how many of your plan's seats are used.

    The **Add Team Member** window opens on **User Info**.

  <Step title="Fill in their details">
    **First Name** and **Email** are required. **Last Name** and **Phone** are optional.
  </Step>

  <Step title="Choose a role">
    Pick **Admin**, **Manager** or **Rep** under **Role**. Rep is selected to start with. The line under the picker explains what each role can see. See [Roles: admin, manager and rep](/help/roles).

  <Step title="Link them to a team (optional)">
    For a rep, choose their **Manager**. For a manager, choose the **Reps they manage**. See [Setting a manager and their reps](/help/managers-and-reps).

  <Step title="Set their Commission %">
    It starts at 10. This is their default share of the Lender Commission on deals they originate or close. See [Setting a rep's commission %](/help/rep-commission-percent).

    Click **Permissions** on the left. The **MCA** tab controls what they can do in NextLevel MCA and the **CRM** tab controls what they can do in your CRM. Both start from the defaults for the role you picked. To use a saved set, pick one under **Apply Template** and click **Apply**. See [Permission templates](/help/permission-templates).

## What happens next

* **They're added to your CRM too.** Creating a team member also creates a user for them in your CRM, with the CRM role that matches their role here: admins are CRM admins, and managers and reps are CRM users.
* **They open NextLevel MCA from the CRM.** Once they can sign in to your CRM, they open NextLevel MCA from there and it signs them in as themselves. See [Opening NextLevel MCA from your CRM](/help/open-from-crm).
* **They get a rep code.** Each member gets a rep code, used for their personal application link. You can change it later: open the member's **⋯** menu, click **Edit** and change **Rep Code** (letters and numbers only).
* **Mobile sign-in.** To use the phone app, a member needs a mobile PIN. From the member's **⋯** menu, **Reset mobile PIN** → **Generate PIN** creates one for you to share with them.

## Editing and removing members

* **Edit.** Open the **⋯** menu on a member and click **Edit**. You can change their name, role, manager or reps, **Commission %**, **Rep Code** and permissions, then click **Save**. Their email can't be changed here: it's how they sign in to your CRM and to NextLevel MCA.
* **Changing someone's role resets their permissions** to the new role's defaults. Check the **Permissions** tab before you save. The change reaches any session they already have open within a minute.
* **Remove.** Open the **⋯** menu and click **Remove**, then confirm. They lose access to NextLevel MCA, including on a phone or tab they already had open (within a minute), and they're removed from your CRM as well. Deals they worked on stay as they are. You can't remove yourself. Removing a manager leaves their reps with no manager.

## Who becomes the first admin

When NextLevel MCA is first installed, nobody has to add the first person by hand:

* If your CRM account has only one user, or only one admin, that person becomes the workspace's admin automatically.
* Otherwise, the first CRM admin who opens NextLevel MCA becomes its admin.
* If neither applies, anyone else who opens it sees **Almost ready**, asking them to have a CRM admin of the account open NextLevel MCA first.

After that, the admin adds everyone else from **Settings → Team → Members**. Nobody is added just because they have a user in your CRM.

## Common problems

    They have a user in your CRM but haven't been added to NextLevel MCA. The screen says "You need to be added to this app by an administrator". An admin needs to add them in **Settings → Team → Members**. They can then open the app again.

  <Accordion title="&#x22;User limit reached&#x22;">
    Your plan's seats are all used. The message tells you how many users your plan allows. Remove someone who no longer needs access, or upgrade your plan. See [Subscription and access](/help/subscription-access).

  <Accordion title="&#x22;A user with this email already exists&#x22;">
    Someone in the workspace already has that email. Each member needs their own email address.
  </Accordion>

  <Accordion title="I can see the team list but can't add or change anyone">
    You have **View Team** but not **Manage Team**. Ask an admin to add **Manage Team** to your permissions.

  <Accordion title="I don't see Team in Settings">
    Team only shows for people with the **View Team** permission. Without **View Settings**, Settings shows just **General** (your mobile PIN), **My mailbox** and, where available, **Notifications**.
